Providers must use screening results to ensure that only VFC-eligible children receive VFC-supplied vaccines and that administration fees are billed as appropriate.
Key Requirements
- Conduct eligibility screening & documentation at each patient visit.
- Offer all age-appropriate, ACIP-recommended vaccines.
- Comply with ACIP’s vaccine-specific recommendations including schedules, dosages, and contraindications.
- Give patient or parent the current Vaccine Information Statements (VISs).
- Record information about each immunization, including VIS version date, vaccine given, lot number, injection site, date vaccine was given and vaccinator name. This information must be kept on file for 3 years.
- Report doses administered to CAIR including NDCs, funding source and vaccine eligibility.
Billing
Never bill for the cost of vaccine. Staff must accurately bill vaccine administration fees based on eligibility categories. Never turn away VFC-eligible patients because they can’t pay vaccine administration fees.
For non-Medi-Cal, VFC-eligible children: Charge patients an administration fee up to the maximum stated in the VFC Provider Agreement. Waive administration fee if parent/guardian is unable to pay. Never bill parents who are unable to pay waived administration fees. Other office visit fees may still be charged.
For Medi-Cal children: Bill Medi-Cal for administration fees. Never bill the difference between Medi-Cal’s administration fee and the administration fee cap to the parent/guardian.
